March 6 Web Update and Payroll Information

Effective March 1, 2008, the Agency for Persons with Disabilities has assumed the Fiscal Employer Agent responsibilities for the CDC+ program. We would like to bring to your attention the following information:

Customer Service Center

The Customer Service Center is open Monday through Friday, from 8 a.m. to 7 p.m. Eastern Time at the toll free number 1-866-761-7043. When the time to submit your payroll documents falls within a weekend, we will open the Customer Service Center to accommodate the payroll deadline. For example, for the pay period that ends on March 15, 2008, the Customer Service Center will accept timesheets, invoices, and requests for reimbursement via phone on Sunday, March 16 from 10:00 a.m. until 7:00 p.m. Eastern Time and Monday, March 17 from 8:00 a.m. until 7:00 p.m.

February Payroll

APD's first payroll has been processed. Checks will be mailed out on Monday, March 10, 2008. All payments for the first payroll will be sent as a paper check to the consumer. We will be able to process electronic funds transfer payments for all future payrolls for those who are enrolled for direct deposit.

We received the majority of timesheets, invoices, and reimbursement requests through the website and have received very positive feedback. The Customer Service Center has also been busy with phone calls for receiving timesheet, invoices, and reimbursement requests, as well as just general questions regarding the program.

March 1-15 Payroll

You can begin entering or calling in your timesheet, invoice and reimbursement information for that pay period after 5:00 p.m. Eastern Time on March 15. The deadline for entering or calling in payroll information for this pay period is March 17, 2008, 7:00 p.m. Eastern Time. When submitting through the website, you can do this at any time of day or night until 7:00 p.m. on Monday, March 17. When calling in your payroll information via the telephone system, the Customer Service Center will be open on Sunday, March 16, from 10:00 a.m. until 8:00 p.m. Eastern Time. You can also call on Monday, March 17, from 8:00 a.m. until 7:00 p.m. Eastern Time. Checks will be mailed and EFTs processed on March 25.

March 16-31 Payroll

You can begin entering or calling in your timesheet, invoice and reimbursement information for that pay period after 7:00 p.m. Eastern Time on March 31. The deadline for entering or calling in payroll information for this pay period is April 2, 2008, 7:00 p.m. Eastern Time. When submitting through the website, you can do this at any time of day or night until 5:00 p.m. on Wednesday, April 2. When calling in your payroll information via the telephone system, the Customer Service Center will be open to receive your called in information on Tuesday from 8:00 a.m. until 7:00 p.m. and on Wednesday, April 2 from 8:00 a.m. until 7:00 p.m. Eastern Time. Checks will be mailed and EFTs processed on April 10.

Account Balances

The CDC+ Customer Service Center will be unable to provide account balances to consumers until at least mid-April. This is because PPL will be reconciling accounts in order to provide final balances by April 10, 2008, and the CDC+ program will not have detailed account information until that time. Consumers or representatives are responsible for tracking and managing CDC+ budgets. If consumer budgets are overspent during or prior to this transition, the participant will be required to submit and implement a Budget Alignment Agreement that will adjust their spending in order to return the account to a positive balance within a reasonable timeframe to be agreed upon with the Central CDC+ office.

Web Timesheet Submission and Webinar Training

We encourage submission of timesheets, invoices, and requests for reimbursement over the Web. We have offered five live "Webinar" trainings and received very positive feedback on those trainings. We will be scheduling additional Webinars in upcoming weeks. If you would like to receive an invitation to upcoming Webinars, please email Sherry_Jackson@apd.state.fl.us and be sure to put the words "Webinar invitation request" in the e-mail subject line.
